The project is planned over a 12-month period, with go-live scheduled for December 2026.

ROL’s Story

This is how it went when the Swedish group ROL upgraded its ERP system

We kept to the schedule, the budget, and stayed calm.

Production, automation, and logistics are just a few examples of the areas where ROL uses IFS Cloud. With four factories across different continents, around 900 employees, and offices in eight countries, it goes without saying that the Swedish company ROL has a lot to keep track of.

ROL has a 40-year history and today consists of two business areas. One focuses on height-adjustable desks, while the other works with retail interiors. A very important element that ties the business together is the ERP system IFS, which permeates almost everything ROL does. Recently, the company carried out an extensive migration to IFS Cloud, making its entire ERP solution as modern as possible.

New needs and new technologies

Martin Odqvist is CFO of ROL Group and is happy to elaborate on the process, together with his colleague Stefan Brengdahl, Director of ERP:

– We have been satisfied users of IFS ERP since 2005. We see the system as a very important enabler. It is a vital part of our success. We are very comfortable with IFS and continuously invest in developing our expertise, says Martin.

– We have a high degree of automation, and IFS also plays an important role there, as it can communicate with robotic cells and autonomous forklifts. We have come a long way in automation thanks to IFS ERP, Stefan explains.

With increasingly higher demands for production and efficiency, ROL decided to upgrade to IFS Cloud.

– This was a major change for us. We faced the choice of switching ERP systems or migrating to the cloud, but we were clear that we were satisfied IFS users and wanted to continue with it.

– The second question was who would help us with the process. And here as well, we had a well-functioning collaboration with Addovation, which we wanted to continue.

Stefan explains that the entire process took nine months to complete and involved around 10–15 people directly, with even more involved indirectly. At the same time, they changed their technical environment and operations partner, which is now also Addovation.

Everything went according to plan

Martin Odqvist summarizes the migration simply:

– We kept to the schedule, we kept to the budget, and we did not experience any serious problems during the transition. Those are the three factors I usually use to summarize our success story, he says.

To illustrate: he explains that when employees left work on the Friday before the migration, they could start again on Monday almost as if nothing had happened. There were some issues to handle, but overall everything worked very well. Out of a total of 900 employees, around 800 are directly affected by the update, and they can feel confident that everything works as it should, Martin explains.

– I have seen companies carry out similar upgrades that they had to abort because the process did not work as intended. They lost major contracts as a result.

ROL Group is very satisfied with its collaboration with Addovation over the past ten years.

Stefan also emphasizes how important a well-functioning system is for ROL Group:

– We run the IFS system across most of our processes. We use it in finance, procurement, production, warehousing, HR, and projects. So it really affects everything and everyone. The vast majority here use IFS daily. It is our core system. We do not allow other systems unless they provide a clear competitive advantage.

Always up to date and ready for new opportunities

Now that IFS Cloud is in place and thoroughly tested, Martin and Stefan can point to clear results.

– For us, IFS Cloud is the right platform to grow on. It is an investment. Now we can connect artificial intelligence. We are part of a larger community of many companies with the same agenda, able to exchange experiences, says Stefan.

– Then there is the evergreen functionality. Before migrating from version 10 to Cloud, we would have had to upgrade versions every three or four years. Even if there are challenges, we feel it is still the best solution for us. And we feel we have only just begun to explore all the opportunities opening up – whether AI features, integrations with other tools, and much more, he adds.

Both Martin and Stefan agree that Addovation has been an invaluable partner throughout the journey:

– We believe it has been extremely valuable to have a partner for ten years who understands what we do, who knows us and our specific characteristics. We know each other so well that we can bring out the best in one another. And we always reach our goals, concludes Martin Odqvist.

Digital VAT Reform Accelerates EInvoicing Across Europe

Electronic invoicing is moving from being an efficiency initiative to becoming a regulatory requirement for European businesses. Authorities across Europe are intensifying the digitalization of tax and reporting processes, and developments clearly point toward mandatory structured e invoicing within the B2B market.

Through the European Commission’s reform package VAT in the Digital Age, ViDA, structured electronic invoicing will become the standard for cross border B2B transactions no later than 2030. The reform aims to reduce VAT fraud, close the so called VAT gap and harmonize digital reporting across member states.

This development is part of a broader international trend. Several European countries, including Italy, France, Poland and Germany, have already introduced or announced phased requirements for B2B e invoicing. At the same time, Continuous Transaction Controls, CTC, are spreading globally.

Regulatory timelines are set

ViDA introduces mandatory structured e invoicing for cross border transactions within the EU, combined with digital reporting requirements. Several member states are also moving toward national mandates aligned with EU standards.

Traditional PDF and paper invoices will no longer be sufficient. Instead, machine readable, structured formats will be required to enable automated validation and more real time reporting. Invoice data is increasingly becoming the foundation for VAT reporting and regulatory compliance.

Focus on reducing the VAT gap

The European Commission has long identified the VAT gap, the difference between expected and actual VAT revenues, as a significant challenge.

Structured e invoicing and digital reporting are intended to increase transparency, reduce fraud and enable earlier detection of discrepancies. Countries that have already implemented clearance or CTC models have reported improved efficiency in tax collection.

Continued cost and efficiency pressure

Alongside regulatory requirements, companies face a growing need to streamline their finance functions.

Structured e-invoicing enables direct system to system transfer without manual data entry. This reduces processing time, error rates and the need for manual reconciliation. For companies handling large invoice volumes, automation is increasingly viewed as both a cost saving measure and a resilience factor.

Increased standardization across borders

Infrastructures such as Peppol play a central role in the development of standardized and secure document exchange.

Peppol was originally developed for the public sector but is now widely used in B2B transactions across several European markets. The network enables standardized formats and adaptation to emerging regulatory requirements.

“We see that ViDA clarifies the need for a common, standardized infrastructure for e invoicing across borders. Peppol is a crucial component in this. For us at Addovation, it is especially rewarding to be able to offer robust Peppol services to Nordic customers, whether they handle very large transaction volumes or smaller flows. Standardization creates predictability, scalability and security in a time of rapid regulatory change,” says Fredrik Wingren, CRO at Addovation.

The transition to structured e invoicing requires many companies to upgrade their ERP systems, integration platforms and reporting solutions.

The digitalization of finance and tax functions is increasingly part of broader modernization programs. E invoicing readiness is therefore no longer viewed as an isolated IT project, but as a strategic transformation issue.

As regulations and national implementations continue to evolve, finance and compliance functions are seeking guidance on timelines, technical standards and practical implications.
